Privacy Statement

Effective June 3, 2026. This statement explains how TakenHire handles personal information across public booking flows, member accounts, live sessions, billing, and support operations.

1. Scope

  • This Privacy Statement explains how TakenHire collects, uses, stores, shares, and retains personal information when you visit our website, book an intro call, create an account, purchase session packages, attend a session, communicate with us, or otherwise use our services.

  • If an organization sponsors or administers your access to TakenHire, some information associated with your use may also be visible to authorized administrators or coaches working through that organization.

2. Information We Collect

  • We collect information you provide directly, including your name, email address, phone number, account credentials, date of birth, career profile details, target role, current title, experience level, booking details, and support or communications content.

  • We collect billing and transaction information relating to purchases, package sessions, and checkout activity. Payment card data is generally processed by Stripe, not stored by TakenHire in full.

  • We collect session and coaching information, including session metadata, coach notes, action items, scores, shared summaries, meeting links, recording status, transcript assets, and Zoom-generated meeting summaries where enabled.

  • We also collect technical, diagnostic, and usage information such as device and browser data, approximate location inferred from IP address, page views, page exits, session duration, clicks, dead-click signals, scroll behavior, performance metrics, app logs, security signals, and other information reasonably necessary to operate, protect, and improve the service.

  • We use product analytics and diagnostic tools, including PostHog, to understand feature usage, troubleshoot errors, measure performance, and improve TakenHire. These tools may receive usage metadata, pseudonymous user or session identifiers, route or page information, browser and device information, and event properties such as status, counts, durations, and category values.

  • When you submit a support request, we may collect the support category, priority, subject, message contents, related account or session identifiers, source page, browser user-agent, and captcha verification result for unauthenticated submissions. We prefer storing a hash of IP address metadata rather than raw IP address where practical.

3. Sources of Information

  • We collect personal information directly from you when you sign up, book sessions, complete forms, participate in coaching, or contact us.

  • We collect information from third-party service providers that support the service, including video meeting vendors, payment processors, authentication and cloud providers, and email delivery providers.

  • We may also derive information from your use of the product, such as session status, package session usage, profile completeness, and coaching progress indicators.

4. Google User Data and Gmail Smart Updates

  • If you choose to connect Gmail for Gmail Smart Updates, TakenHire uses Google OAuth and the Gmail API to access Google user data only with your authorization and only for the job tracker features you enable.

  • The Google user data we may access includes your connected Google account email address, Gmail message metadata, sender and recipient information, subject lines, snippets or message content, received dates, Gmail message and thread identifiers, Gmail history identifiers, granted scopes, and related technical metadata needed to maintain the connection.

  • TakenHire uses Gmail data to identify job-related emails, match those emails to job applications in your tracker, create communication updates, prepare pending smart suggestions, send service notifications, maintain Gmail watch state, troubleshoot the integration, prevent abuse, and provide or improve the user-facing Gmail Smart Updates feature.

  • TakenHire does not sell Google user data. TakenHire does not use Google user data for advertising, retargeting, personalized advertising, determining credit-worthiness, lending purposes, data brokerage, information resale, or training general AI models.

  • We may share or process Google user data with service providers that help us operate TakenHire, such as cloud hosting, storage, logging, security, notification, and AI processing providers, but only as needed to provide, secure, support, or improve the user-facing Gmail Smart Updates feature.

  • TakenHire's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • You may pause Gmail Smart Updates or disconnect Gmail through the product where available. You may also contact us to request deletion of Gmail-derived data, subject to legal, security, backup, and operational retention needs.

5. How We Use Information

  • We use personal information to provide, operate, secure, and improve TakenHire, including to create and manage accounts, schedule sessions, process payments, prevent abuse, reconcile intro-call bookings, and provide coaching tools and member dashboards.

  • We use session-related information to prepare coaches, host video sessions, generate or store transcripts and summaries, support quality control, maintain records, and make member-facing recaps available after coach review and publication.

  • We use product analytics, performance information, and diagnostic signals to understand whether users can complete important workflows, identify product issues, improve usability, secure the platform, and prioritize improvements.

  • We use information to send service-related communications, including booking confirmations, meeting links, payment notices, account alerts, and support responses.

  • We may also use information to comply with legal obligations, enforce our Terms, investigate fraud or security incidents, and protect our users and business.

6. How We Share Information

  • We share information with service providers and contractors that help us operate the platform, including providers that support hosting, storage, authentication, payments, email delivery, analytics, and video sessions.

  • We share information with coaches and authorized internal personnel as needed to prepare for and deliver coaching sessions, manage bookings, review session work, and support members.

  • If your access is connected to a sponsoring company or organization, we may share limited administrative information needed to manage membership, coach assignment, eligibility, or related service operations.

  • We may disclose information when required by law, to respond to lawful process, to protect rights and safety, in connection with a business transfer, or with your direction or consent.

  • We do not sell personal information, and we do not share personal information for cross-context behavioral advertising based on the current TakenHire product model.

7. Recordings, Transcripts, and Zoom Summaries

  • TakenHire may use Zoom and related providers to host sessions. When enabled, sessions may be recorded, transcribed, and summarized. Zoom or another provider may also present its own consent or recording notices when you join.

  • Session artifacts may be stored in TakenHire systems and linked to the relevant session record for operational, quality, and coaching purposes. Member-facing recap content is intended to remain gated until a coach publishes the review.

  • If you use AI interview practice, video assessment, audio assessment, or similar recorded practice features, TakenHire may record, upload, store, transcribe, analyze, and generate feedback from your submitted audio, video, transcript, and related technical metadata to provide the feature and improve the service.

  • If you do not want to participate in a recorded or transcribed session, do not join that session.

8. Retention

  • We retain personal information for as long as reasonably necessary to provide the service, maintain records, comply with law, resolve disputes, enforce our agreements, and support legitimate business and security needs.

  • Retention periods may vary depending on the type of information, whether you maintain an account, whether a transaction or session has occurred, and whether legal or operational obligations require longer retention.

9. Your Choices and Rights

  • You may update certain profile information through your TakenHire account. You may also contact us to request access, correction, or deletion of personal information, subject to applicable law and any required verification steps.

  • California residents may have rights to know, correct, delete, limit certain sensitive-information uses, opt out of sale or sharing, and receive equal treatment for exercising those rights, where applicable under the California Consumer Privacy Act.

  • TakenHire currently operates as an online service. Privacy and data requests may be sent to team@takenhire.com. We may need to verify your identity before completing a request.

10. Cookies, Tracking, and Browser Signals

  • TakenHire uses cookies or similar technologies that are reasonably necessary to operate the website, maintain sessions, remember preferences, protect accounts, and support analytics and diagnostics.

  • Where session replay, heatmap, or interaction replay is enabled, TakenHire configures masking controls intended to mask form inputs and on-page text and to avoid recording request headers or request bodies. We do not intentionally send resume text, interview answer text, transcript text, coaching notes, AI-generated summaries, payment card data, email addresses, phone numbers, or names to product analytics events.

  • We do not currently respond to browser "Do Not Track" signals with a separate technical workflow. We also do not currently engage in the sale of personal information or cross-context behavioral advertising based on your activity across third-party sites.

  • Based on the current TakenHire product design, we do not knowingly allow unrelated third parties to collect personal information across different websites over time through TakenHire for their own cross-site advertising purposes.

11. Security

  • We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

  • If you believe your account or information has been compromised, contact us promptly at team@takenhire.com.

12. Children

  • TakenHire is not directed to children under 18, and we do not intend for minors to use the service without appropriate legal authority and consent. If you believe a child has provided personal information to us inappropriately, contact us and we will review the situation.

13. Changes to This Statement

  • We may update this Privacy Statement from time to time. When we do, we will update the effective date above and may provide additional notice where appropriate.
